ETC Web Administration Area For Hosted Clients

We provide web based email accounts so that our clients may check email from any computer connected to the Internet -- from work, home, and on the road when you're out of town on business or vacation. Your email account will also work with any email program, such as Outlook Express.

Below are instructions for setting up email. Select the one for your email.

Adding a New Email Account to Outlook Express 4.0 - (PDF)

Start Outlook Express.
Choose Accounts from the Tools menu. The Internet Accounts window will open.
Click the Mail tab. This will show you any emails accounts that are currently set up in Outlook Express.
(If any current accounts are present and are not active, they will need to be deactivated or removed from the listing to avoid receiving error messages.)
Click the Add button. A menu will appear; choose Mail.
The Internet Connection Wizard will appear to guide you through a series of configuration steps for the email address you want to add.
Enter your name as you want it to appear in emails. Click Next.
Enter your email address you wish to add and then click Next.
Email Server Names: enter the following information:

My incoming mail server is a: POP3
Incoming mail (POP3 or IMAP) server: mail.domainName.com
Outgoing mail (SMTP) server: mail.domainName.com
(Please Note - You MAY need to use SMTP authentication (see below) or use your ISP's SMTP server in this field. Some ISP's, Earthlink, Mindspring, MSN, etc. do not allow SMTP relay to another mail server. Please contact them for the proper SMTP information, or call us for assistance.)
Click the first log on using radio button and enter the following information:

POP account name: Your user name/ID (this is your email address; i.e. jdoe@etczone.com
Password: Your email password
Click Next

The Friendly Name window will appear. Type in a friendly name that will help you rememeber this email address (i.e. Global Web Mail). Click Next.
The Choose Connection Type window will appear.
Choose one of the following connection types:

If you connect through your modem, click the Connect using my phone line radio button.
If you wish to connect manually before you open Outlook Express, choose the I will establish my Internet connection manually radio button.

Click Finish. This completes the initial Mail Setup.
SMTP / Outgoing Mail Settings: Set up the outgoing permissions for your email account.

Still in Outlook Express, at the Accounts window, highlight the main account you just setup and click on the PROPERTIES button to the right.
Click on the Servers tab.
Look for the section titled Outgoing Mail Server near the bottom and place a check on the My server requires authentication; then click on the SETTINGS button.
Under this Settings window, Click on Use same settings as my incoming mail server.
Save and exit, and you are all set!

Adding a New Email Account to Outlook Express 5.x and 6.x - (PDF)

Start Outlook Express.
Choose Accounts from the Tools menu. The Internet Accounts window will open.
Click the Mail tab. This will show you any emails accounts that are currently set up in Outlook Express.
(If any current accounts are present and are not active, they will need to be deactivated or removed from the listing to avoid receiving error messages.)
Click the Add button. A menu will appear; choose Mail.
The Internet Connection Wizard will appear to guide you through a series of configuration steps for the email address you want to add.
Type in a friendly name that will help you remember this email address. Click Next.
Enter your name as you want it to appear in emails. Click Next.
Click I already have an email address that I would like to use radio button, then enter the email address you want to add, in the form of username@domainName.com and then click Next. (i.e. jdoe@etczone.com)
Email Server Names: enter the following information:

My incoming mail server is a: POP3
Incoming mail (POP3 or IMAP) server: mail.domainName.com
Outgoing mail (SMTP) server: mail.domainName.com

Then enter the following information:

SMTP / Outgoing Mail Settings: We require SMTP authentication for outgoing mail services so you MUST do the following.

Outlook Express 6.x users: Microsoft has a default setting in OE6.x that blocks most attachments - You need to make a change to your security settings in order to receive attachments!

In OE6.x, go to TOOLS / OPTIONS / SECURITY
Uncheck the 4th item, Do not allow attachments to be saved or opened that could potentially be a virus.
Click Apply, OK and you are all set!

If you want to add another email account to Outlook Express, repeat the above procedure. If not, click Close.

Adding a New Email Account to Outlook 98 - (PDF)

Start Outlook 98.
Choose Services from the Tools menu. The Internet Accounts window will open.
Click the Mail tab. This will show you any emails accounts that are currently set up in Outlook 98.
Click the Add button. A menu will appear, choose Mail.
The Internet Connection Wizard will appear to guide you through a series of configuration steps for the email address you want to add.
Enter your name as you want it to appear in emails. Click Next.
Enter the email address you want to add, in the form of jdoe@domainName.com and then click Next.
Enter the following information.

My incoming mail server is a: POP3

Adding a New Email Account to Outlook XP - (PDF)

Start Outlook 2002 / XP.
Choose Email Accounts from the Tools menu. The Email Accounts window will open.
Choose Add a new email account (you can choose View or change an existing email account if you already have one setup on your computer), then click Next.
(Outlook does allow you to have more than one email account on a computer. If any current accounts are present and are no longer active, they will need to be edited, deactivated or removed from the listing to avoid receiving error messages.)
Choose POP3 Account, click Next.
Type in your name, email address, and POP and SMTP server information

Incoming server name: mail.domainName.com
Outgoing server name: mail.domainName.com
Then type in your email ID (this is your full email address) and password
(Please Note - You MAY need to use your ISP's SMTP server in this field. Some ISP's, Earthlink, Mindspring, MSN, etc. do not allow SMTP relay to another mail server. Please contact them for the proper SMTP information, or call us for assistance.)

Click on More Settings and choose Outgoing Server.
Make sure to check the My outgoing server requires authentication option and the Use same settings as my incoming mail server option.
You are all set! If you want to add another email account to Outlook, repeat the above procedure. If not, click Close.

Our e-mail system uses Barracuda spam filtering software.

Outlook Users
You can load a tool into your Outlook or Outlook Express program and mark messages as Spam and Not Spam by installing the program, Microsoft Outlook Plugin. Then you will see a green and red envelop on your toolbar in Outlook or Outlook Express. The Green envelope tells the Barracuda that the message is NOT SPAM. The Red Envelope tells the Barracuda the message IS SPAM. Just select the message and click on the correct envelope.

A quarantine message is sent to your inbox each morning. It will display the e-mails caught in the barracuda spam filters.

If an important e-mail is caught:

Click DELIVER and the e-mail will be sent to your inbox.
Click WHITE LIST and the e-mail will be sent to your inbox, and any future e-mails sent from that same address will no longer be caught in the spam filter.

Adjust your filter controls:

You can change the default spam settings. Click the PREFERENCES tab at the top, then click SPAM SETTINGS.
E-mail that is sent to you is flagged by the system with a number from 0 to 9.
E-mail flagged between your Tag Score and Quarantine Score will be tagged as [BULK] mail and sent to your inbox.
E-mail flagged between your Quarantine Score and your Block Score will be tagged as Quarantine, and caught in the filters.
E-mail flagged at your Block Score and higher will be automatically deleted.
